ADMINISTRATIVE ASSISTANT

 Receptionist - Full Time - Weekdays plus Weekend Rotation

DEFINITION:  The Administrative Assistant organizes the paper flow, keeps accurate records of schedule changes and requests for changes in client service and complies the proper forms and maintain up-to-date computer data. Coordinates and communicates with field/office staff regarding relevant patient data and/or information.

QUALIFICATIONS:

  1. One to three years computer and general office duties.
  2. Good clerical and organizational skills.
  3. Possesses adequate and effective interpersonal skills.
  4. Effective with both verbal and written communication.
  5. High School Diploma or G.E.D. preferred
  6. Able to physically perform basic office duties

REPORTS TO:   OFFICE MANAGER

SUPERVISORY RESPONSIBILITIES:   This position has no supervisory responsibilities.

PHYSICAL DEMANDS:     While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. This position would require the ability to lift files, open filing cabinets and bend or stand as necessary and the employee must occasionally life office products and supplies weighing up to 20 pounds.

TRAVEL:  This position does not require travel during normal business hours.

TASKS/DUTIES & RESPONSIBILITIES:                                                                                               

  1. Receive phone call and direct them to appropriate recipient. Maintain up-to-date, accurate client virtual files.                     
  2. Maintain efficient paperwork flow. Help/organize and may order office and medical supplies/equipment. 
  3. Assist the opening of new cases by obtaining all necessary information. Complete all required forms, records, including changes of status for the clients and staff.                               
  4. Provide input into the computer concerning all new cases, monitor any changes in client and staff records transmitted by service unit. 
  5. Is responsible for verifying all computer changes related to clients and staff.   
  6. Maintain weekly summary of case activity.  
  7. Make recommendations to improve efficiency and effectiveness of paper flow and office processes.  
  8. Maintain a filing system of all computer documentation materials related to scheduling/office operations.    
  9. Input all client and schedule data. 
  10. Computer operations-backup, lists.   
  11. Assist in the training of new administrative assistant (i.e. Documentation, preparing reports, data entry, etc.). 
  12. Management may assign projects that is related to his/her scope of work from time to time.
  13. Other work as may be required
  14. Complies with agency Policies and Procedures as well as Employee Handbook detailing Human Resources policies.
  15. Other duties / responsibilities that support the agency's core values of Commitment, Advocacy, Respect, and Excellence.
  16. Completes emergency preparedness training as identified as appropriate for this employee level.
  17. Participates in exercises and drills for emergency preparedness, as required.
  18. Other duties and tasks as assigned by the Optimal Home Care Emergency Command Center communication tree in the event of a local, regional or national emergency and/or disaster.
